Creating a Schedule
Scheduling can involve sending a report to one or several users at a set interval e.g. once a day or once a week or only sending a chart when data exists e.g. a chart that monitors faults in a system.
Scheduling a report would be particularly useful for a Service Manager for example, who needs to produce a weekly report based on the number of tickets raised and closed for or a Sales Manager who needs to submit their monthly sales figures to the board.
To create a schedule, click the ‘Reporting’ icon at the top left of the dashboard and then click the Schedules tab.
The Reporting icon will only be displayed on the dashboard if your licence includes this module.
Click the ‘Add’ icon to create a new schedule.
At the top of the screen, enter a title for your email. This field is mandatory and must be completed before the schedule can be saved.
Remember that you can also access the Schedules screen by clicking the icon at the top of the Report on the Reports screen.
If a Schedule contains missing information an error message will be displayed that confirms the missing information.
In the following example, the email subject has not been entered and the error message confirms the missing subject field.
In this example, the subject and message have not been completed and again the message confirms both pieces of information are missing.
Formatting options
The formatting section, beneath the email Subject field, can be used to format the text in your email.
The options in the formatting section are explained in more detail in the following table:
Icon | Meaning |

Font Size. Select the text that you want to change, click the icon and select the new point size. | |
Font Family. Select the text that you want to change, click the icon and select the font that you want to apply. You can find more information on adding additional fonts here. | |
Text Colour. Select the text that you want to change, click the icon and select the new colour. | |
Text Background Colour. Select the text that you want to change, click the icon and select the background colour for the selected text. | |
Bold. Applies bold formatting to the selected text | |
Italic. Applies italic formatting to the selected text | |
Underline. Applies underlining to the selected text | |
Text Align Left. Left aligns the selected text | |
Text Align Centre. Centre aligns the selected text | |
Text Align Right. Right aligns the selected text | |
Copy Formatting. Select text and click this icon to copy the formatting that has been applied to the selected text | |
Apply Copied Formatting. Select text and use this icon to paste formatting copied from another area | |
Bullets. Click this icon before typing to create a bulleted list. Alternatively, you can select existing text and change it to a bulleted list | |
Numbering. Click this icon before typing to create a bulleted list. Alternatively, you can select existing text and change it to a bulleted list | |
Clear List Style. Select text that has a bullets or numbering applied and click this icon to remove the list styling and revert the selected text to normal text | |
Insert Link. Click the icon to paste a URL link into your email |
Suspending Schedule
If you need to stop schedules from being sent, you can use the ‘Suspend Scheduling’ option on the ‘Schedules’ tab.
When this option is ticked, all schedules and related active jobs will be suspended until the tick is removed.
