Dynamic Report Summaries

Dynamic Report Summaries

Feature Overview:

With dynamic report summaries, report creators can enable the AI to generate a text summary of an entire report at the moment it is generated and sent to a user. This is an advancement on the old, static report summaries as it utilises up-to-date data and takes into consideration user restrictions, access and variables.

Beta Flag:

The pre-existing beta flag AI_REPORT_DESCRIPTION is used to enable this feature. This feature is intended to be a replacement for the pre-existing AI report description generation functionality, which is entirely static. As a result, the old functionality is hidden behind a new beta flag STATIC_AI_REPORT_DESCRIPTION, with the intention of it being deprecated in the future.

How To Create a Dynamic Summary Page:

To create a dynamic summary page within a report, click the magic wand icon within the ‘Page’ settings in the report editor.

This will insert a dynamic summary page directly after the page you are currently on. As is the case with other pages, this can be moved to wherever you’d like, i.e. it can be moved to be the first page in the report.

Due to technical limitations, to reduce redundancy and to not impact performance, you are limited to having a single dynamic summary page per report. The wand icon will be greyed out once a dynamic summary page exists within the report. There is another wand icon on the page tab on the left to indicate to users that this is a dynamic summary page.

From the editor’s perspective, the dynamic summary page consists of a single text box. This is where you provide your prompt - try to be as specific as possible regarding which data you’d like to highlight, which charts you’d like to focus on and which key metrics you’d like the AI to describe. Ensure you instruct the AI to be concise - especially if your page is ‘landscape’ - as the summary will not spill over onto a second page. The prompt is considered secure and will not be shown to users who do not have report editor and AI permissions simultaneously. It will not be shown in previews. The descriptive text, i.e. ‘Type a prompt…’ within the header, will be removed when the report is generated.

Permissions:

In order to create a summary page and write the prompt, you must have the AI permission enabled. Users who have access to edit the report without the AI permission enabled will be able to delete the dynamic summary page, but not create one or edit the prompt within a pre-existing one. Individual users receiving the report do not need the AI permission to be enabled - only the dynamic summary page creator needs this. The permission will be based on the dynamic summary page creator’s owner organisation permission. This is what a user who has access to edit the report but no AI permission will see:

Styles & Page Input Limitations:

Text styling options from the top ‘Text’ bar are disabled. Certain options from the ‘Box’ bar, such as cell splitting, are disabled. If you have the old report AI feature turned on at the same time, you will not be able to input text from this into the dynamic report summary prompt.

Advanced options from the right side of the report editor will apply to the generated text. Be careful with increasing the font size for this on a report with many charts, as if the generated summary is too long, it will not create a second page for it to spill over onto.

Generated text will be displayed in markdown with the advanced styling options applied.

Output Example:

Here is an example of what a user might see in a preview for a report with three basic charts, no data restrictions, and the above advanced options styling applied:

Capabilities:

  • Unique per user - takes restrictions, variables and access into consideration

  • Utilises up-to-date data

  • Prompt is secure

  • Editable by users with AI permission, deletable by users without

  • Advanced styling options apply

  • No permission required for individual users to receive summary

  • Works with instant reports and scheduled reports

  • Works with all export types

Limitations:

  • One summary page per report

  • Summary will not spill over onto second page if text is long

  • Less granular text styling than regular text inputs

  • Potentially large performance overhead if scheduling a report to a large volume of users

  • Does not take visual features such as chart attributes and targets into consideration - only considers the underlying data and the chart names

  • Relies heavily on user prompts to be accurate and concise
