I've added User Restrictions but my user has had a name change.

User Restrictions are a quick and easy way of restricting access to a Data Connection but what happens if you have a large number of Data Connections and your user changes their name. This could potentially mean updating the Restriction Value for every Data Connection separately. In this article, we look at a solution to this problem - using Variables.

 Instructions

  1. In Dashboard Configuration>Users, select the relevant user on the left-hand side of the screen.

  2. Click the ‘Variables’ tab

  3. Create a Variable similar to the one shown below, we’ve created a Variable called Staff Member and specified the users name in the Variable Value field

  4. On the ‘Restrictions’ tab, we can then refer back to this Variable. Click the ‘Add’ icon at the top-right to add a new Restriction. We’ll now choose the object that we want to apply this Variable to - in this case our member of staff is a Sales Person

  5. Click the drop-down for ‘Object' and select the correct object

  6. In the Restriction Value field, we’re now going to add the name of the Variable rather than choosing one of the existing values

  7. Click the ‘Search’ icon and in the ‘Type to filter’ field enter the name of the Variable that you’ve just created (this should be enclosed in double square brackets as shown in the screenshot) . After entering the Variable name, click the ‘Add’ icon to add it to the list

  8. Now click the ‘Apply’ button at the bottom-right of the page

  9. This now means that if a User’s name changes, all you need to do is update the ‘Variable Value’ on the Variables tab, save the details and anywhere that references that particular Variable will be updated automatically
